Our Migration Methodology

Six phases built from 500+ migrations. No shortcuts, no surprises.

01

Assessment & Planning

Content inventory, complexity analysis, compliance requirements review, migration strategy design, and detailed project timeline with milestones.

02

Architecture Design

Target SharePoint architecture (hub sites, libraries, metadata), information architecture mapping, and permission model design before a single byte moves.

03

Pre-Migration Prep

Content cleanup, sensitivity label configuration, retention policy setup, pilot environment provisioning, and migration tool testing.

04

Pilot Migration

Migrate 10-50GB of representative content to validate tooling, permissions, metadata, and search. Collect user feedback before full rollout.

05

Phased Execution

Batch migration by department/site type with real-time monitoring, error tracking, and stakeholder communication throughout.

06

Cutover & Validation

Final delta sync, source set to read-only, post-migration validation, URL updates, and user communication for go-live day.

Migration Risk Mitigation

Every migration carries risk. Here is how we address the four most common migration failures.

Risk: Permissions Not Migrated Correctly

Our mitigation: We audit source permissions before migration and validate all permission levels in target before cutover. No "access denied" surprises.

Risk: Data Loss or Corruption

Our mitigation: Item count validation after every batch. Source kept intact until validation is complete. 90-day post-migration monitoring.

Risk: Disruption to Business Operations

Our mitigation: Phased approach with department-by-department migration. Migrations run during off-hours. Parallel operation during transition.

Risk: Compliance / Legal Hold Disruption

Our mitigation: Legal holds identified before migration. Preservation Hold Library content verified in target before source cutover.

Migration Case Studies

Our migration track record spans healthcare, financial services, government, manufacturing, and retail. Migrations ranging from 500 users to enterprise deployments of 50,000+ users.

50TB migrated — zero data loss for 15,000-user healthcare system
Regional bank M&A: two tenants merged in 90 days under OCC deadline

SharePoint 2019 End of Life

SharePoint 2019 reaches end of mainstream support in 2026. Organizations still on-premises need to migrate before security patches stop and licensing compliance risk increases.

SharePoint Migration Services FAQ

How long does a SharePoint migration take?

Migration timelines depend on data volume, source environment complexity, and user count. General benchmarks: a 1TB file share migration with 500 users takes 4-8 weeks end-to-end (planning through cutover). A SharePoint 2019 on-premises migration for 5,000 users with 10TB of content typically takes 8-16 weeks. Large enterprise migrations (50,000+ users, 50TB+) take 4-6 months with phased departmental rollouts. We always provide a detailed timeline with milestones in our migration assessment.

Will my files and permissions survive the migration?

Yes — with proper planning. Our migrations preserve file content, metadata, version history (up to configured limits), and permissions. We validate item counts and spot-check content in target before cutover. For permissions: we map source permissions to SharePoint Online groups before migration and test access with representative user accounts before going live. Our 500+ migrations have a zero data loss record.

What happens to my SharePoint Designer workflows during migration?

SharePoint Designer workflows do NOT migrate to SharePoint Online automatically — they must be rebuilt in Power Automate. We assess all SharePoint Designer workflows during discovery, classify them by complexity, and include Power Automate rebuilding in the migration scope. This is often the most complex part of a SharePoint on-premises migration and should not be underestimated.

Can you migrate SharePoint without disrupting users?

Yes — a phased approach minimizes disruption. We migrate one department at a time (often starting with a pilot group of 50-100 willing volunteers). During migration, the source remains read-accessible while the target is prepared. Cutover is typically scheduled for a weekend or off-hours. Users receive advance notice (2 weeks minimum), training materials, and IT support coverage during the first week post-migration.

How do you handle sensitive or regulated content during migration?

Regulated content (PHI, PII, financial records, legal holds) requires additional care during migration. Our approach: (1) Identify regulated content in the source inventory; (2) Configure sensitivity labels and retention policies in the target BEFORE migration; (3) Migrate regulated content with enhanced logging; (4) Verify legal hold content is preserved in target; (5) Validate DLP policies catch regulated content post-migration. For healthcare clients, we ensure BAA coverage includes migration services. For GCC High migrations, we use migration tooling authorized for CUI data.

What does SharePoint migration services cost?

SharePoint migration pricing depends on data volume, number of users, source environment complexity, and regulatory requirements. General ranges: small migrations (1-5TB, 100-500 users) start at $15,000-$35,000. Mid-size migrations (5-25TB, 500-5,000 users) typically range from $35,000-$100,000. Enterprise migrations (25TB+, 5,000+ users) start at $100,000+. Tenant-to-tenant migrations with regulatory complexity are priced separately based on hold count and identity complexity. We provide a fixed-price statement of work after the discovery assessment.
